01

Forward the calls you want covered.

Select a dedicated routing number during setup. Your existing carrier forwards unanswered calls, after-hours calls, or both. Your advertised business number stays the same. Forwarding options depend on your phone provider.

02

Capture the details that matter.

The assistant uses your greeting, service area, services, and emergency rules. It gathers the caller’s name, callback number, service address, and issue without quoting prices or promising an arrival time.

03

Give the request a clear destination.

Emergency and urgent requests enter your on-call workflow. Routine requests go to morning follow-up. Spam is logged without waking the team. Your primary, backup, and owner use their existing mobile phones.

04

Ask someone to take responsibility.

The assigned team member receives a secure lead link and acknowledges the request. If there is no acknowledgement, reminders and backup/owner alerts follow the timing you configure.

05

Record customer contact separately.

A team member marks customer contact with the method and timestamp. An acknowledgement, a sent alert, or an opened dialer does not automatically count as completed customer contact. The owner can review the lead timeline.

06

Start the morning with a useful queue.

Routine requests and deferred leads stay in the morning queue until contact is recorded. The office can review the intake details, assign the request, call the customer, and keep the outcome visible.

What does “accounted for” mean?

A lead has a visible record of its intake, assignment, acknowledgement, and reported customer contact. It does not guarantee that a technician will answer, that work will be booked, or that an issue will be resolved. Accountibell makes the next action and its owner easier to see.
